Receptionist Coordinator

The Receptionist will be the first point of contact for visitors and clients who visit and/or call the Ai Squared office(s), while also managing office operations. This role includes responsibilities for front desk duties, office administration, and support for interior design or styling projects. Proficiency in social media is also required to help manage the company's online presence.
Key Responsibilities- Greeting and Communication: Greet visitors and clients, ensuring a welcoming and professional reception area.
- Phone and Email Management: Answer and direct phone calls, take messages, and handle general inquiries.
- Office Supplies and Inventory: Manage office supplies inventory, place orders, and ensure supplies are stocked and organized.
- Event and Meeting Coordination: Assist with the coordination of office events and meetings, including scheduling and preparing materials.
- Record Keeping and Filing: Maintain office records and files, ensuring they are accurate and up-to-date.
- Design and Styling Support: Support interior design and styling projects, including sourcing materials and assisting with setup.
- Social Media Management: Manage and update the company's social media accounts, including creating and posting content.
- Administrative Tasks: Assist with basic administrative tasks such as data entry, photocopying, and scanning documents.
- Office Environment: Ensure the office environment is clean, organized, and aesthetically pleasing.
- Team Support: Provide support to the Office Manager and other departments as needed.
- Organizational Skills: Strong organizational skills with a keen attention to detail.
- Communication Skills: Excellent verbal and written communication skills.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic office equipment.
- Design and Styling Experience: Experience in interior design, styling, or a related field is preferred.
- Social Media Proficiency: Proficiency in social media platforms (e.g., Instagram, Facebook, LinkedIn) and content creation.
- Interpersonal Skills: Strong interpersonal skills and a professional demeanor.
- Teamwork: Ability to work independently and as part of a team.
- Education: High school diploma or equivalent required; Associate's degree or certification in office administration, interior design, or a related field preferred.
- Experience: Previous experience in a receptionist or office manager role is desirable.
- Social Media Experience: Experience in social media management and content creation is a plus.
- Prolonged Sitting: Prolonged periods sitting at a desk and working on a computer.
- Lifting: Must be able to lift up to 25 pounds at times.
