In this pivotal role, you will provide high-level administrative assistance to the President of the Spend Management division and oversee a team of administrative professionals. Our administrative staff are integral to our organization, and we are committed to nurturing their development through targeted skill enhancement, networking opportunities, and leadership training.

Key Responsibilities:

  • Calendar Management: Proactively coordinate the executive's schedule, resolving conflicts and prioritizing tasks to ensure optimal time management.
  • Preparation & Research: Anticipate the needs for meetings by conducting thorough research and preparing necessary materials to support the executive's agenda.
  • Meeting Coordination: Organize logistics for in-person, hybrid, and virtual meetings, ensuring effective communication and strategic support.
  • Travel Coordination: Manage travel arrangements and prepare expense reports in accordance with company policies.
  • Documentation & Communication: Assist in the preparation and editing of various documents, presentations, and communications.
  • Meeting Facilitation: Plan and facilitate internal and external meetings, ensuring all action items are documented and followed up on.
  • Operational Efficiency: Enhance daily operations for both the executive and the team, implementing processes that align with business priorities.
  • Team Engagement: Lead initiatives to promote employee engagement and manage onboarding processes for new team members.
  • Client Relations: Build strong relationships with internal and external stakeholders, serving as a trusted advisor to the executive.
  • Project Support: Provide assistance on special projects and manage tasks effectively to meet organizational needs.
  • Team Leadership: Foster a collaborative environment among administrative professionals, guiding the team to meet the evolving demands of the business.

Qualifications:

  • Preferred degree in a relevant field.
  • A minimum of 5 years of experience in a senior administrative support capacity.
  • Experience in a leadership role is preferred.
  • Proficiency in Microsoft Office Suite is essential.
  • Strong project management skills with attention to detail.
  • Excellent written and verbal communication abilities.
  • Professional demeanor and a proactive approach.
  • Exceptional organizational skills and attention to detail.
  • Experience in planning events and meetings.
  • Self-motivated and results-driven.
