RESPONSABILIDADES:
· Rol híbrido, con horario de 8:00 a.m. a 5:00 p.m., de lunes a viernes.
· Proporcionar apoyo a clientes y neutrales.
· Gestionar la logística del día para mediaciones y arbitrajes, comunicando cualquier plan relevante al equipo.
· Asistencia general con cuentas de Zoom (neutrales/clientes) y colaborar con el equipo de TI para resolver problemas técnicos.
· Realizar tareas administrativas diarias, como contestar llamadas telefónicas, copiar, imprimir, escanear y notarizar documentos.
· Operar y realizar mantenimiento básico de equipos de oficina, como máquinas de bebidas, fotocopiadoras, salas de Zoom, televisores/portátiles y sistemas telefónicos. Escalar necesidades de mantenimiento/reparación al Supervisor de Oficina de ADR.
· Proporcionar un servicio al cliente excepcional; mantener una actitud cortés, servicial y profesional.
· Identificar problemas comunes y escalarlos a la gerencia, junto con posibles sugerencias para mejoras; compartir comentarios de los clientes para que los servicios puedan ser mejorados.
· Respetar la confidencialidad de clientes y neutrales en todo momento.
· Monitorear, completar y asignar tareas en NetSuite según corresponda.
· Gestionar designaciones judiciales y completar informes judiciales y e-filing dentro del plazo requerido.
· Responsable de la limpieza, organización, abastecimiento y compra de suministros de la oficina. Gestionar la cocina durante la hora del almuerzo, asegurando que las porciones y la limpieza se mantengan.
· Abrir, leer y distribuir el correo o materiales entrantes y enviar documentos rutinarios.
· Observar, recibir y obtener información para una programación precisa.
· Gestionar un gran volumen de correos electrónicos, información y solicitudes de reservas.
· Trabajar regularmente con clientes y neutrales para programar mediaciones que satisfagan las necesidades de los clientes.
· Utilizar computadoras y software para programar mediaciones de manera eficiente y precisa.
· Resolver conflictos y quejas de clientes.
· Realizar otras tareas relacionadas según lo asignado por la gerencia.
CALIFICACIONES:
· Título de asociado en negocios o campo relacionado.
· 3 años de experiencia en administración de oficinas y servicio al cliente; experiencia legal preferida.
· Competente en sistemas tecnológicos, habilidades específicas en Microsoft Office Suite, Slack, Zoom, Dropbox, experiencia en NetSuite deseable.
