Position Details:

We are in search of a capable Project Coordinator to join our dynamic agency. The ideal candidate will oversee the daily requirements of various client communication teams. The selected individual will collaborate closely with the Director of Workflow to ensure that client expectations are consistently met. Responsibilities will include resource management, maintaining workflow processes, and liaising with Brand Management, Media, and Creative teams to deliver projects that surpass client expectations.


Key Responsibilities:

  • Build and sustain positive relationships with interdepartmental contacts to achieve project objectives.
  • Timely receipt and processing of new project requests.
  • Conduct effective meetings to align project team members and manage projects throughout their lifecycle.
  • Simultaneously oversee multiple projects and resources, coordinating with team members to accurately schedule and manage timelines.
  • Collaborate with leadership to optimize creative resources and refine operational processes.
  • Monitor project progress against established work plans and hold project owners accountable for timely deliverables.
  • Utilize and identify project management tools and software, implementing new processes as necessary.
  • Establish a standardized project methodology, develop metrics, and track progress while resolving issues as they arise.
  • Compile regular status reports for agency and client leadership.
  • Coordinate with project managers to maintain the agency production calendar and track creative team availability.
  • Work directly with the Chief Creative Officer on scheduling and timesheet management.

Qualifications:

  • 1-2 years of experience in project management is required.
  • Bachelor's Degree in business, advertising, communications, or a related field is required.
  • Experience in a corporate marketing environment or advertising agency is preferred.
  • Strong project management skills, with the ability to balance multiple projects and stakeholders.
  • Excellent oral and written communication skills, with the ability to proofread documents effectively.
  • Proven experience in managing multiple projects and ensuring timely delivery.

Proficiency in MS Office and familiarity with project management tools such as Asana, Basecamp, or Mavenlink is essential.
