Administrative Coordinator for Global Rare Diseases

Job Summary:

We are seeking an experienced Administrative Professional to provide high-level support to our Global Rare Diseases leadership team. The successful candidate will possess excellent organizational skills, a keen attention to detail, and the ability to maintain confidentiality.

Key Responsibilities:

  • Provide administrative support to the Global Rare Diseases leadership team, including coordinating travel, managing calendars, and preparing correspondence.
  • Process purchase orders and invoices using SAP, and track purchase order requests throughout the process.
  • Complete monthly open purchase order reports and provide budget tracking assistance.
  • Utilize broad and comprehensive experience, skills, and knowledge in organizational policies, procedures, and practices to coordinate and manage small to large events within the functions, both domestic and international.
  • Interact daily with key stakeholders and handle highly confidential information.
  • Book domestic and international travel for executives and coordinate complex travel itineraries.

Requirements:

  • 5+ years of experience in a life science industry (pharma, biotech) providing administrative support to multiple executives and team members.
  • Previous experience working with Regulatory Affairs and Clinical Operations preferred.
  • High attention to detail and experience preparing and proofing correspondence and documents.
  • Ability to prioritize tasks, manage and maintain a professional, friendly, and efficient operation at all times.
  • Ability to handle highly sensitive data confidentially.
  • Experience with contract processing and management.
  • Experience with budget management and purchase order processing.
  • Solid experience with MS Office.
  • Experience with SAP and Concur preferred.

Education:

Bachelor's degree and/or experience in a relative field.
