Administrative Support Professional

Job Description: As a Project Billing Coordinator, you will:
• Provide administrative support to project managers, including data entry, document preparation, and correspondence.
• Assist with project setup, including assigning project numbers and moving files from estimating to project management.
• Coordinate turnover meetings from estimating to operations, ensuring a smooth transition of projects.
• Obtain and/or provide notice of commencements, file notices to owners, and obtain certificates of insurance from general contractors.
• Process and execute necessary permits required for construction projects, set up and maintain the construction project filing system on server, and assemble contract and subcontract routing process.
• Enter, update, create, and distribute submittals, manage project tracking logs, purchase orders, and direct owner purchases.
• Close-out process, including requesting and maintaining all COIs for all departments, license renewals, and print reports requested by project managers.
• File current inspection test reports and daily reports provided by superintendents, and maintain field team folders on server for foreman access.
• Perform other duties as assigned.
What You'll Need: To succeed in this role, you'll need:
• A high school diploma or equivalent; a degree in business administration or related field is preferred.
• 1-2 years of experience in administrative support, preferably in construction or a related industry.
• Excellent communication, organizational, and time management skills.
• Basic understanding of construction processes and procedures.
• Ability to lift files, open filing cabinets, and bend or stand as necessary.
