Job Summary

Central Ohio Primary Care Physicians is seeking a highly skilled and experienced Office Director to lead the operations of our Canyon Medical Center office in Columbus, OH. As a key member of our team, you will be responsible for directing, supervising, and coordinating the overall operation of the office, ensuring seamless delivery of high-quality patient care.

Key Responsibilities
  • Operational Leadership: Maintain an efficient and well-run office, continually assessing operations and recommending changes to improve workflow, policies, and procedures.
  • Staff Management: Recruit, orient, and train staff, responsible for daily schedule of work assignments and operations. May need to cover other employees' work responsibilities to ensure work is completed.
  • Performance Management: Facilitate employee performance evaluations and responsible for performance management of team. Manage ongoing training for current staff as needed.
  • Administrative Tasks: Complete bi-weekly payroll entries and ensure personnel information is sent to Corporate Human Resource Department. Provide oversight of appropriate time use and monitor the need and frequency of overtime and float positions.
  • Patient Experience: Create an environment of customer service and compassion that promotes exceptional patient experiences.
  • Communication: Serve as liaison and primary point-of-contact by answering inquiries, providing information, and addressing concerns. Communicate regularly with Physicians on office management items and CBO updates.
  • Culture and Compliance: Promote a welcoming and inclusive environment for both staff and patients. Drive practice alignment with COPC corporate strategy and initiatives intended to improve operational success, including quality and financial success.
  • Collaboration: Collaborate with the CBO to promote effective relationships with patients, government agencies, vendors, insurance plans, and all departments.
  • Policy Implementation: Support and comply with all COPC corporate policies and procedures. Implement and communicate changes to company policies and procedures.
  • Professional Development: Provide coaching support to all staff and serve as a role model in support of office and corporate initiatives. Participate in professional development activities to keep current with trends and practices in health care.
  • Confidentiality and Compliance: Maintain strictest confidentiality and ensure compliance with HIPAA, OSHA, CLIA, and all labor laws.
Requirements
  • Education: High School Diploma or GED Equivalent. Associates or Bachelor's Degree preferred.
  • Clinical Experience: Clinical experience (Medical Assistant, Nursing Degree) preferred.
  • Office Management Experience: Three or more years of office management experience preferably in a medical office setting.
  • Healthcare Knowledge: Knowledge of principles and practices of health care planning and management sufficient to manage, direct, and coordinate the operation of a health care organization.
  • Computer Literacy: High level of computer literacy; experience with Electronic Medical Records system preferred.
  • Medical Terminology: Knowledge of medical terminology preferred. Knowledge of ICD-10 and CPT coding preferred but not required.
  • Interpersonal Skills: Skill in establishing and maintaining effective working relationships with employees, policy-making bodies, third party payers, patients, and the public.
  • Communication Skills: Skill in interpersonal communication including the ability to address HR issues tactfully and in a timely manner to enhance team dynamics.
  • Initiative and Judgment: Skill in exercising a high degree of initiative, judgment, discretion, and decision making to achieve organizational objectives.
  • Analysis and Problem-Solving: Skill in analyzing situations accurately and taking effective action.
  • Organizational Skills: Skill in organizing work, making assignments, and achieving goals and objectives.
  • Judgment and Discretion: Skill in exercising judgment and discretion in developing, applying, interpreting, and coordinating departmental policies and procedures.
  • Leadership and Authority: Ability to assume responsibility and exercise authority over assigned work functions.
  • Quality Control: Ability to establish and maintain quality control standards.
  • Organizational Priorities: Ability to organize and integrate organizational priorities and deadlines.
