Your Contribution

If you have a passion for accounting and administrative tasks, this role will enable you to directly support the Project Accountant in various accounting activities essential for project and program/grant management. Your contributions will play a vital role in the success of the accounting department, as you maintain vendor relationships by managing invoices, expense reports, accounts payable, and accounts receivable. Your attention to detail and proficiency in Excel will be crucial in supporting the Project Accountant consistently.


Key Responsibilities

  • Execute purchasing and accounts payable tasks while organizing filing systems.
  • Assist the Project Accountant in generating financial reports for management, as well as state and federal financial status reports.
  • Review purchase requisitions and customer vouchers for accuracy and necessary supporting documentation.
  • Prepare Purchase Orders (PO) and follow up on approvals and submissions to vendors.
  • Maintain both digital and physical vendor records and files.
  • Receive and verify vendor invoices and employee expense reports, resolving discrepancies and assigning appropriate general ledger codes.
  • Compile batches of vendor invoices for payment, ensuring alignment with Purchase Orders.
  • Present invoices to the Project Accountant for review and approval.
  • Process customer payment requests and manage customer obligations.
  • Ensure copies of checks and supporting documentation are included to update vendor files.
  • Track and audit ITA's while updating financial information to reflect payments.
  • Ensure accurate and timely data entry into tracking systems.
  • Continuously strive to minimize errors by adhering to standard operating procedures and all relevant policies, maintaining an error rate of no more than 5% collectively.

Qualifications

Education: High School Diploma or GED required; 1-3 years of experience in accounts payable is essential. An Associate's degree in finance or bookkeeping is preferred.

Experience: Relevant work experience is necessary. Strong verbal and written communication skills, demonstrated customer service abilities, and proficiency in computer applications, particularly word processing and spreadsheet software, are required.

Skills/Abilities: Basic computer literacy, including proficiency in using the Internet and Microsoft Office products, especially Excel.
