Your Contribution

Do you have a passion for accounting and administrative tasks? In this position, you will support the Project Accountant in daily financial operations that aid in project and program/grant management. Your contributions will be vital to the success of the finance department and maintaining vendor relationships through assistance with invoices, expense reports, accounts payable, and accounts receivable. Your attention to detail and proficiency in Excel will enable you to thrive while continuously supporting the Project Accountant.


Key Responsibilities

  • Execute purchasing and accounts payable tasks while managing filing systems.
  • Assist the Project Accountant in generating financial reports for management, state/federal financial status updates, and any other necessary reporting.
  • Review purchase requisitions and customer vouchers for accuracy and required supporting documentation.
  • Prepare Purchase Orders (PO) and follow up on approvals and submissions to vendors.
  • Maintain both digital and physical vendor records and files.
  • Receive and validate vendor invoices and employee expense reports, resolving discrepancies and assigning appropriate general ledger codes. Input vendor invoices into Accounts Payable.
  • Compile batches of vendor invoices for payment, ensuring alignment with Purchase Orders.
  • Present invoices to the Project Accountant for review and approval.
  • Process customer payment requests and needs-based payments for customer obligations.
  • Ensure copies of checks and supporting documentation are included to update vendor files while preparing checks for mailing.
  • Track and audit ITA's while updating ITA financial information to reflect payments.
  • Ensure accurate and timely entry of information into the tracking system.
  • Continuously strive to minimize errors by adhering to all standard operating procedures and Workforce Board policies, maintaining an error rate of no more than 5% collectively.

Qualifications

Education: High School Diploma or GED required; 1-3 years of experience in accounts payable is essential. An Associate's degree in finance or bookkeeping is preferred.

Experience: Relevant work experience is necessary. Strong verbal and written communication skills, along with demonstrated customer service abilities and computer proficiency, particularly in word processing and spreadsheet software, are required.

Skills/Abilities: Basic computer literacy, including the ability to navigate the Internet and utilize Microsoft Office products, especially Excel.
