Role Overview:

The Clinical Support Specialist plays a crucial role in assisting healthcare providers (Physicians, Physician Assistants, or Nurse Practitioners) during patient examinations and treatments by performing the following responsibilities:

Key Responsibilities:

  1. Welcomes patients and prepares them for their healthcare visit by guiding them to the examination area, gathering medical history, and confirming patient information.
  2. Documents a complete and accurate set of vital signs.
  3. Accurately populates all sections of the electronic medical record, including allergies, medications, vaccines, social history, and quality metrics.
  4. Assists healthcare providers during examinations and treatments, conducting point-of-care tests as permitted by skill level, certifications, and state regulations.
  5. Maintains inventory in storage areas and examination rooms.
  6. Ensures cleanliness and safety of treatment rooms post-examination; adheres to established standards and procedures to maintain a secure and healthy work environment.
  7. Engages with patients, visitors, and colleagues in a service-oriented manner that is attentive, cooperative, and respectful.
  8. Responsible for pre-visit planning in accordance with standard operating procedures.
  9. Maintains logs and performs required checks (e.g., refrigerator temperatures, emergency medications, expired medications, oxygen levels).
  10. Regularly checks and addresses voicemails throughout the workday.
  11. Manages inbox messages in the electronic medical record for providers and staff.
  12. Provides backup support for front office tasks, including patient check-in, check-out, appointment scheduling, and phone inquiries.
  13. Maintains professional relationships with vendors supporting the practice.
  14. Complies with HIPAA regulations for all internal and external systems.
  15. Communicates effectively with awareness of surroundings and audience.
  16. Participates in required training and meetings.

Qualifications:

  • High School Diploma or GED required.
  • Graduation from an accredited healthcare program (e.g., Medical Assistant, CNA, LPN, EMT) or equivalent work experience.
  • Must maintain certifications as per state guidelines.
  • National certification as a Certified Medical Assistant (CMA) is strongly preferred.
  • Proficient computer skills are required; experience with EMR systems is preferred.
  • Some experience as a Medical Assistant is required.
  • Current BLS certification is necessary.

Preferred Experience:

  • 1-3 years of experience in OBGYN or a related field.
  • Familiarity with Athenahealth practice management system.

Working Conditions:

  • Regularly required to stand, use hands, reach with arms, and communicate verbally.
  • Occasionally required to walk, sit, and perform tasks such as stooping or kneeling.
  • May need to lift and/or move up to 20 pounds frequently and occasionally more than 25 pounds.
  • Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.
