DEPARTMENT SUMMARY:
The Cancer Center at St. Charles Health System is a comprehensive facility dedicated to providing holistic care to our patients. Our services include chemotherapy, medical oncology, infusion therapies, radiation treatment, integrative medicine, nutrition counseling, social work, survivorship programs, and various supportive care options. All staff members are committed to supporting patients through their treatment journeys.

POSITION OVERVIEW:
The Cancer Center Appointment Coordination Specialist is responsible for organizing appointments for medical oncology, radiation oncology, infusion treatments, office consultations, referrals, and diagnostic examinations.

Key Responsibilities:
  • Schedule inpatient and outpatient procedures and appointments as directed by the patient's physician or authorized representative.
  • Manage various appointment types, including new patient consultations, infusion/chemotherapy services, radiation therapy, medical oncology services, physician referrals, imaging studies, blood transfusions, and other necessary procedures.
  • Coordinate patient care with external facilities.
  • Exhibit exceptional customer service skills while managing a high volume of calls.
  • Possess a solid understanding of medical terminology and procedures.
  • Communicate essential information regarding procedures effectively.
  • Accurately process written orders and enter appointments into the scheduling system.
  • Prioritize tasks to ensure all details are addressed and documentation is correctly inputted into the system.
  • Ensure accurate patient registration, pre-registering patients in the system, collecting demographics, insurance details, and necessary co-payments.
  • Process payments accurately and complete daily financial deposits.
  • Perform real-time eligibility checks for insurance benefits and assist with prior authorizations as required.
  • Retrieve and scan patient records into the appropriate electronic medical record systems.
  • Prepare physician reports and correspondence.
  • Conduct accurate charge entry and review charges as necessary.
  • May be required to cover responsibilities at multiple sites.
  • Assist with special projects as needed.
  • Support the organization's vision, mission, and values in all activities.
  • Embrace Lean principles of continuous improvement, acting as a champion for change.
  • Maintain a safe environment for caregivers, patients, and visitors.
  • Conduct all activities with professionalism and confidentiality.
  • Comply with all applicable laws, regulations, policies, and procedures, supporting corporate integrity efforts.

EDUCATION:
Required: High school diploma or GED.
Preferred: Associate's degree or higher.

EXPERIENCE:
Required: Minimum one (1) year of experience in customer service, with knowledge of medical terminology and procedures.
Preferred: One (1) year of experience in a physician's office, medical clinic, or hospital setting, with experience in scheduling and registration.

ADDITIONAL POSITION INFORMATION:
Must possess excellent communication skills and the ability to interact with a diverse population, representing St. Charles Health System professionally.
Ability to multi-task and work independently in a fast-paced office environment.
Attention to detail is crucial.
Demonstrated proficiency in computer applications, electronic medical record systems, and MS Office.
PHYSICAL REQUIREMENTS:
