Job Overview

Sparks Group is in search of a proficient full-time Program Coordinator to oversee the activation of a newly acquired facility, manage the transition of various offices, and supervise essential organizational change management efforts. The Program Coordinator will be tasked with identifying and alleviating project risks, ensuring timely and budget-conscious delivery of high-impact solutions that align with defined goals. A Project Management Professional (PMP) certification from the Project Management Institute is mandatory.

Core Responsibilities:

Project Oversight:

  • Direct high-stakes, cross-departmental initiatives to guarantee successful and punctual completion, aligned with measurable business goals and within financial constraints.
  • Define, plan, and prioritize several projects with differing timelines and deliverables, taking into account available resources and schedules.
  • Communicate project progress, timelines, and challenges to executive sponsors, team members, and stakeholders.
  • Acquire services and products in accordance with established guidelines.
  • Collaborate with resource managers and business leaders to facilitate project tasks, resource allocation, and issue resolution.
  • Ensure comprehensive business and technical requirements for modifications to existing or new business processes.
  • Manage vendor relationships and supervise project consultants' activities through regular status updates and tracking.
  • Comply with industry and organizational standards for project portfolio management.
  • Create essential project management documentation, including evaluations, charters, communication plans, status reports, responsibility matrices, production turnovers, and project closures.
  • Review and enhance project documentation produced by other project coordinators.

Change Facilitation:

  • Lead change facilitation efforts to promote awareness and acceptance of business process adjustments related to projects.
  • Evaluate the impact and advantages of planned project scope and unforeseen issue resolution.
  • Advocate for and communicate the necessity for business process modifications to executive sponsors and stakeholders, securing their awareness and endorsement.
  • Oversee the project change request process, managing modifications throughout the project lifecycle.
  • Act as a liaison, engaging and supporting the project team, and preparing affected business areas for transformation.
  • Assist in developing and refining guidelines, informational web pages, and other supporting documentation.
  • Review, edit, approve, and implement web page updates related to the project.

Risk Assessment:

  • Analyze and manage corrective actions to reduce the impact of project risks.
  • Identify and evaluate project-related risks, developing strategies to mitigate or avoid threats to achieving project objectives.
  • Implement risk mitigation strategies with the project team.
  • Monitor risk management activities, communicating with executive sponsors to seek corrective action input, approval, and support.

This position requires in-person attendance.
