Role Overview:

The Program Assistant will provide essential support to the Division, Program Manager, team members, and clients to achieve program objectives. This role requires exercising discretion and independent judgment regarding significant business matters.

Key Responsibilities:

  • Maintain accurate records for consortium memberships and members.
  • Prepare and uphold precise financial documentation for the consortium as directed.
  • Assist Program Managers in the planning and execution of client programs.
  • Engage in frequent communication with internal and external stakeholders on important matters requiring tact and negotiation skills.
  • Manage calendars for the manager and the team, resolving potential scheduling conflicts.
  • Coordinate meetings, including logistics such as equipment preparation, attendance tracking, and catering.
  • Support the organization of program presence at trade shows, including material preparation and booth staffing coordination.
  • Maintain electronic and paper files for programs, ensuring proper version control and archiving.
  • Provide general administrative assistance to team members.

Additional Duties:

  • Track specific budget items as assigned.
  • Perform other related tasks as required.

Qualifications:

  • Bachelor's Degree, or an Associate's Degree with two years of relevant experience, or a High School diploma with six years of related experience.
  • Proficient in computer applications, including intermediate Excel skills and MS Office Suite (Word, PowerPoint, Outlook, Project); MS Access experience is a plus.
  • Willingness to travel for conferences and meetings as needed.
  • Must be a U.S. citizen and able to obtain and maintain a DOD security clearance for specific projects.
  • Subject to a background check that includes a review of criminal records.
