Grants and Fellowships Assistant

The University of Virginia seeks a highly skilled Grants and Fellowships Assistant to support the Virginia Humanities team. As a key member of our team, you will play a crucial role in managing all phases of award administration for organizations and individuals associated with Virginia Humanities Fellowships and Grants programs.

Key Responsibilities:
  • Enter, manage, and extract data from the application/award database as needed.
  • Assist in managing Grant and Fellowship announcement, application, and review cycles.
  • Provide administrative support to critical functions related to financial awards, event promotion, and communications for these programs.
  • Collaborate and cross-train with Community Initiatives and Business staffs to provide support for a cohort of current fellows.
  • Perform organization-wide duties as assigned.
Grants Management:
  • Assist with building and maintenance of all grant forms in Foundant's GLM (grants management software).
  • Register new grantees in PaymentWorks.
  • Process and track award payments.
  • Assist Director of Grants and Fellowships with the management of application cycles in GLM.
  • Assist with closing out grants.
Fellowships Management:
  • Assist Directors with the management of application cycles in SLM, including generating reports and inputting payments for various fellowships.
Ongoing Responsibilities:
  • Collaborate on planning grant and fellowships workshops.
  • Provide responsive constituent engagement to ensure that questions can be answered using various communication methods.
  • Prepare exports of GLM data and enter programming results for NEH reporting and Board reports as needed.
Professional Development:
  • Ongoing training in GLM/SLM systems to stay informed about system updates and features.
  • Participate in grant meetings with national humanities councils to track trends in grant making.
  • Additional professional development opportunities as appropriate.
Communications:
  • Manage website content relative to the Grants and Fellowships cycles.
  • Collaborate with communications department on regular grantee spotlights and content promoting grants and fellowships.

Requirements:

  • High School Diploma.

Preferred Qualifications:

  • At least two years of grants and contracts experience.
  • Experience with a nonprofit or humanities organization.

This is a Non-Exempt level, benefited position. For more information on the benefits at UVA, visit www.hr.virginia.edu/benefits. This position is a restricted position and is dependent upon project need, availability of funding and performance. We support a flexible work schedule, but full remote work is not possible. Anticipated Hiring Range: $21.64-$24.04 p/hr ( $45,000 - $50,000 p/yr) commensurate with education and experience. The University will perform background checks on all new hires prior to employment. This position will not sponsor applicants for work visas.
