Job Summary

The Jacobs School of Music at Indiana University is seeking a highly organized and detail-oriented Student Services Coordinator to join our Undergraduate Advising and Records Team. As a key member of our team, you will provide exceptional support to our students, faculty, and staff, ensuring a seamless and efficient experience for all.

Responsibilities
  • Provide administrative support to the Director of Undergraduate Studies, Academic Advisors, and Undergraduate Recorder, including scheduling appointments, managing calendars, and coordinating events.
  • Serve as the first point of contact for current and prospective undergraduate students, faculty, and staff, responding to inquiries, and resolving issues in a timely and professional manner.
  • Screen phone calls, emails, and walk-in visitors, providing information and assistance as needed, and referring complex issues to other sources when necessary.
  • Assist with New Student Orientation and Continuing Student Registration, including walk-in advising and processing E-adds and E-drops.
  • Process class permissions and advising holds, and review and approve schedule of classes each semester.
  • Perform administrative tasks, such as attending front desk, answering phones, and delivering messages and mail.
  • Serve as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, and scheduling planning meetings.
  • Provide assistance to student participants, stakeholders, faculty, and staff, acting as a resource by analyzing information, providing documentation, and preparing reports.
  • Maintain accurate electronic records and databases, and provide directions, support, and information to student organization representatives and other visitors to the department.
  • Assist with daily scheduling, training, and gathering of student feedback, and may prepare and disseminate handouts, presentations, or other materials.
Qualifications
  • High school diploma or equivalent required; education beyond the minimum required may be substituted for work experience.
  • 2 years of experience in an office environment, higher education, or related field required; experience in higher education preferred.
  • Knowledge of music preferred.
  • Proficient communication skills, time management, and priority setting skills required.
  • Maintains a high degree of professionalism, demonstrates a high commitment to quality, and possesses flexibility to work in a fast-paced, dynamic environment.
  • Demonstrates ability to maintain confidential information, demonstrated customer service skills, and commitment to working with people of diverse backgrounds and demonstrated cultural competency.
Working Conditions/Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
