Pain Management Office Coordinator

Pain Specialists of America LLC is seeking a highly skilled Front Desk Office Coordinator to join our team. The ideal candidate will possess excellent communication skills and be customer service driven.
The Front Desk Coordinator will serve as the initial point of contact for all incoming patients, ensuring they feel welcome and are properly greeted. The successful candidate will be well composed in both their appearance and demeanor, maintaining a soft and even temperament when dealing with issues of a personal nature.
Key Responsibilities:
- Check patients in, print out medication lists, and provide necessary paperwork
- Collect co-pays and collect on balances, setting up recurring credit card payments for balances as needed and processing payment plans per protocol
- Prepare schedules one day in advance to determine balance accuracy and notify patients who need to be on a payment plan
- Document all payments and non-payments on the schedule and provide to the manager at the end of the day
- Verify demographics with patients and update as necessary
- Enter all appropriate patient demographics into the corresponding EHR/EMR
- Have all patients sign opioid contracts, and LOP patients sign LOP liens
- Scan paperwork into the appropriate systems
- Confirm appointments
- Send referral letters
- Retrieve procedure cost estimates from S-FAX
- Answer incoming calls and check phones for messages, messages in the EMR/EHR, and email systems on a daily basis
- Maintain up-to-date HIPAA information in patient charts
- Keep the reception, waiting area, and workstation tidy and professional at all times
- Maintain patient confidentiality
- Perform other duties as assigned
- Travel as needed
Requirements:
- High school diploma or equivalent
- A minimum of one year of experience in a customer service position
- Proficient in MS Word, Excel, PowerPoint, and Outlook

- Possesses excellent written and verbal communication skills
- Ability to multitask in a fast-paced environment and meet deadlines
