POSITION OVERVIEW

The role is pivotal in managing front office reception and administrative tasks, which include welcoming visitors, responding to phone inquiries, addressing company-related questions, and managing mail distribution. This position also involves scheduling meetings and travel arrangements for staff members.

KEY RESPONSIBILITIES

  • Manage incoming calls and live chat, operate a switchboard, and direct calls to appropriate personnel. Document and relay messages through task management systems.
  • Maintain inventory of breakroom and office supplies, ensuring timely orders from vendors.
  • Oversee the office budget for expenses, ensuring adherence to financial protocols.
  • Conduct monthly inventory checks and restock supplies as necessary.
  • Coordinate travel logistics for company personnel, including flights, accommodations, and transportation.
  • Assist in the billing process for services rendered.
  • Facilitate technical training coordination, ensuring timely completion and scheduling.
  • Maintain cleanliness and organization of the reception area and breakroom.
  • Manage the flow of incoming and outgoing mail.
  • Conduct COVID screenings for staff and visitors as required.
  • Order uniforms and manage invoicing through service providers.
  • Coordinate cleaning services and pest control, ensuring timely billing.
  • Schedule maintenance and repair services as needed.
  • Create standard operating procedures and documentation for daily tasks.
  • Receive and distribute packages and correspondence.
  • Perform additional duties as assigned.

SKILLS AND QUALIFICATIONS

  • Strong verbal and written communication abilities.
  • Exceptional interpersonal skills, capable of handling sensitive situations with professionalism.
  • Outstanding organizational skills and meticulous attention to detail.
  • Proficient in Microsoft Office Suite or similar software.

EDUCATION AND EXPERIENCE

  • High School Diploma or equivalent in a relevant field.
  • Previous experience in an office environment is preferred.

PHYSICAL DEMANDS

The physical requirements for this position include:

  • Extended periods of sitting at a desk and using a computer.
  • Regular communication, including speaking and listening.
  • Frequent standing, walking, and manual dexterity for operating equipment.
  • Ability to lift and move items weighing up to 20 pounds.
  • Visual acuity for close tasks and the ability to adjust focus.
  • Capability to work in a moderately noisy environment with multiple sources of activity.
