POSITION SUMMARY:
Bootz & Duke Sign Co. is a leading, comprehensive sign provider with over 60 years of experience serving both Arizona and national clients. We are in search of a dedicated, full-time Executive Assistant to facilitate executive, sales, and project management objectives. This role requires a commitment to delivering high-quality administrative and project support. The ideal candidate will have a minimum of 3 years of experience in roles such as executive assistant, administrative assistant, or project manager, preferably within the construction or commercial sign sectors, and experience in a family-owned business environment. Essential qualities include strong written and verbal communication skills, exceptional organizational capabilities, attention to detail, integrity, adaptability, resilience, and a proactive attitude. Proficiency in computer applications, record keeping, note-taking, and business correspondence is also essential.
DUTIES & RESPONSIBILITIES:
- Demonstrate excellent communication and time management skills with a proven track record of meeting deadlines.
- Ensure clear and intentional communication for effective coordination and execution of tasks and projects.
- Handle sensitive matters with utmost confidentiality and discretion, particularly those affecting company operations.
- Represent the company positively through strong follow-through and sound judgment.
- Utilize MS Word, Excel, Outlook, and shared drives to prepare and manage correspondence, reports, special projects, and various documents.
- Learn and apply industry-specific software to manage company projects and conduct routine business functions.
- Assist in managing schedules and deliverables efficiently.
- Conserve executives' time by researching, collecting, and analyzing information as needed.
- Attend meetings and document notes accurately.
- Complete ad-hoc projects as assigned.
- Create detailed reports, including progress updates, material usage, and any deviations from original plans.
- Maintain precise records of work, ensuring all necessary documentation is thorough.
- Assist in organizing contacts, calendars, and schedules while resolving any scheduling conflicts.
QUALIFICATIONS:
- 3+ years of experience as an Executive Assistant, Administrative Assistant, or Project Manager.
- Prior experience in the Construction and/or Commercial Sign Industry.
- Proficient in Microsoft Word, Excel, Outlook, and both Google and MS platforms.
- Detail-oriented with exceptional communication skills.
- Strong business acumen with the ability to prioritize and make sound judgment calls.
- Commitment to excellence, consistently performing duties at the highest level.
- Excellent communicator, able to engage with individuals at all levels in a professional manner.
- Demonstrated ability to handle sensitive information appropriately.
- Team-oriented with collaborative experience.
- Service-focused, dedicated to meeting the expectations of senior executives.
- Ability to think creatively and act with a sense of urgency.
WORK HOURS & COMPENSATION:
- This is a full-time, hourly position requiring in-person attendance.
- Regular hours are from 7:30 AM to 4:00 PM, Monday to Friday.
- Flexibility to work longer hours and weekends may be necessary during peak periods.
