Purpose of DVMS:

To deliver outstanding patient care, personalized client service, and collaborative partnerships with referring veterinarians, enhancing the lives of our patients and their families.

Role of Client Services Representative:

The Client Services Representative (CSR) is responsible for providing exceptional client service within a small animal specialty veterinary practice. Under the guidance of the Front Office Supervisor and Lead CSR, the CSR will proactively manage various responsibilities, including but not limited to:

Key Responsibilities:

  • Appointment Management: Confirm appointments and provide necessary information regarding feeding and arrival times.
  • Record Verification: Contact referring veterinarians to obtain medical records and ensure they are accurately attached to patient files.
  • Patient Record Updates: Ensure timely and accurate updates to patient records, including necessary documentation.
  • Communication: Manage a high volume of electronic communications, including faxes and emails, while maintaining effective communication with clients and colleagues.
  • Document Management: Oversee the handling of all incoming and outgoing documents, ensuring accuracy and timeliness.
  • Client Interactions: Provide a warm welcome to clients and their pets, assisting them with inquiries and scheduling appointments accurately.
  • Financial Transactions: Process payments accurately and manage financial reconciliations.

Qualifications:

  • High School Diploma required.
  • Minimum of two years of experience in the veterinary field or healthcare front office, with at least one year in direct client service.

Skills and Abilities:

  • Strong multitasking abilities and adaptability to changing priorities.
  • Proficient in Microsoft Office Suite and electronic medical records software.
  • Excellent organizational and interpersonal skills.
  • Ability to work effectively in a fast-paced environment and as part of a team.
  • Dependable with a stable work history.

Physical Requirements:

  • Ability to perform various physical activities, including standing, walking, and lifting up to 25 pounds.
  • Ability to work in a dynamic environment with exposure to animal sounds and hospital supplies.
