We are seeking a highly organized and detail-oriented Client Representative to provide exceptional support to our clients and staff at Jewish Family & Children's Service. This role is responsible for maintaining accurate records, scheduling appointments, and ensuring seamless communication with clients and funding sources.

Key Responsibilities
  • Scheduling and Intake
    • Schedule client appointments and verify client demographic information in our electronic health record system.
    • Obtain initial client inquiry information and process according to office procedures and contract requirements.
    • Maintain a waiting list and review regularly with the Clinical Director and Operations Coordinator.
  • Client Charting and Data Entry
    • Maintain accurate and up-to-date client electronic charts, including scanning and importing related case material.
    • Update client files with changes in address, phone number, fee, or other pertinent information.
  • Client Communication and Support
    • Answer and coordinate incoming calls and client traffic in the office.
    • Schedule transportation and translation for clients upon request of clinicians and document in treatment plans.
  • Administrative Tasks
    • Collect client co-pays and process through the auto-flow process.
    • Prepare deposit summaries for all charges and client payments, and submit to Accounting following agency procedures.
Requirements
  • Verifiable High school education or equivalent, some college business and/or computer courses desirable.
  • Previous experience in a position requiring significant public contact, preferably in a medical office.
  • Computer and organization skills.
  • Ability to type 45 wpm.
  • Level 1 Fingerprint Clearance Card without Restriction(s).
  • Valid AZ Drivers License.
