Position Overview

Frier Levitt, a distinguished national boutique law firm, specializes in Healthcare and Life Sciences. With a wealth of experience representing diverse stakeholders within the healthcare sector, the firm has a strong track record in both regulatory and litigation matters.

We are currently seeking a dedicated, full-time Legal Assistant (also known as "Legal Administrative Assistant" or "Legal Secretary") for our Litigation department. Please note that this role is distinct from that of a paralegal.

The successful candidate will primarily operate within our office environment, with the potential for remote work one day a week after an initial employment period.

Key Responsibilities:

  • Overseeing multiple attorney schedules in Outlook, organizing meetings and appointments, and liaising with clients regarding availability; scheduling communications via Microsoft Teams.
  • Scanning, archiving, and uploading documents to our document management system (NetDocs) while utilizing our Centerbase system for billing, potential client tracking, and engagement letter oversight.
  • Drafting, proofreading, and revising legal documents and associated case materials.
  • Conducting document redlining.
  • Preparing document productions, including Bates stamping.
  • Assisting the department paralegal with trial preparation and notebook organization.
  • Processing time entries for attorneys using CenterBase.
  • Answering attorney calls promptly and courteously.
  • Coordinating travel arrangements as necessary.
  • Tracking Continuing Legal Education (CLE) credits, including scheduling courses and submitting completion certificates; maintaining accurate records.
  • Communicating effectively and calmly with staff, attorneys, and clients.
  • Exhibiting exceptional organizational skills and attention to detail.
  • Providing backup support to other Legal Assistants when required.

Qualifications:

  • A minimum of 3 years' experience as a Legal Assistant in a private law firm or court administration setting, with a preference for litigation experience.
  • Proven ability to multitask in a high-volume litigation environment with strong follow-up skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite, Adobe, and DocuSign.
  • Strong proofreading and organizational skills.
  • Capability to prioritize tasks effectively.
  • Experience in preparing Tables of Authorities and Tables of Contents for legal filings is advantageous.
