We are currently seeking a skilled, full-time Legal Assistant (also known as "Legal Administrative Assistant" or "Legal Secretary") to join our Litigation department. Please note that this role is distinct from a paralegal position.
Key Responsibilities:
- Overseeing multiple attorney schedules in Outlook, arranging meetings and appointments, and communicating with clients regarding availability; scheduling calls and meetings via Microsoft Teams.
- Scanning, saving, and uploading documents to our document management system (NetDocs) while utilizing our Centerbase system for billing, potential new clients, contact management, and engagement letter oversight.
- Drafting, proofreading, and revising legal documents and other case-related materials.
- Redlining documents as necessary.
- Preparing document productions, including Bates stamping.
- Assisting the department paralegal with trial preparation and organization of trial notebooks.
- Processing time entries for attorneys using CenterBase.
- Answering attorney calls promptly and courteously.
- Coordinating travel arrangements as required.
- Tracking Continuing Legal Education (CLE) credits, including scheduling courses and submitting completion certificates to the appropriate state authorities.
- Maintaining effective and calm communication with staff, attorneys, and clients.
- Exhibiting exceptional organizational skills and attention to detail.
- Providing backup support to other Legal Assistants when needed.
Qualifications:
- A minimum of 3 years of experience as a Legal Assistant in a private law firm or court administration setting, with a preference for litigation experience.
- Proven ability to multitask effectively in a high-volume litigation environment with strong follow-up skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite, Adobe, and DocuSign products.
- Strong proofreading and organizational skills.
- Ability to prioritize tasks and assignments efficiently.
- Experience in preparing Tables of Authorities and Tables of Contents for legal filings is advantageous.
