Job Summary:

HRM-PM11 Demo is seeking a highly skilled Administrative Support Specialist to join our team. As an Administrative Support Specialist, you will play a critical role in supporting hospital administration by representing the administrators, controlling calendars, preparing reports and documents.

Key Responsibilities:

  • Represent the Administrators: Handle and screen incoming telephone calls, record and transmit messages, receive and announce scheduled visitors, and screen unscheduled visitors.
  • Calendar Management: Maintain a master administration calendar, reschedule appointments when conflicts arise, and arrange appointments for administrators.
  • Office Services Support: Provide administrative support to administrators by inputting data, proofreading documents, gathering information, preparing reports, maintaining files, ordering and maintaining supplies and equipment.
  • Customer Service: Enhance the hospital's customer service reputation by assisting patients, visitors, and physicians to resolve expressed concerns.
  • Confidentiality: Keep information confidential by following the employee confidentiality policy.
  • Inter- and Intra-Departmental Cooperation: Contribute to effective working relationships by supporting inter- and intra-departmental cooperation.
  • Administrative Support: Accomplish administration and hospital mission by completing related results as needed.

Requirements:

  • Administrative Writing Skills: Possess strong administrative writing skills to prepare reports and documents.
  • Telephone Skills: Demonstrate excellent telephone skills to handle and screen incoming calls.
  • Meeting Planning: Show ability to plan and coordinate meetings.
  • Deadline-Oriented: Meet deadlines and prioritize tasks effectively.
  • Multi-tasking: Possess strong multi-tasking skills to handle multiple responsibilities.
  • Scheduling: Demonstrate ability to schedule appointments and maintain calendars.
  • Data Entry Skills: Possess strong data entry skills to input information accurately.
  • Professionalism: Exhibit professionalism in all interactions with patients, visitors, and physicians.
  • Attention to Detail: Demonstrate attention to detail to maintain accurate records and files.
  • Organization: Possess strong organizational skills to prioritize tasks and manage time effectively.
  • Dependability: Demonstrate dependability and reliability in completing tasks and meeting deadlines.
