Position Overview
The Receivables Management Specialist is responsible for processing financial transactions that represent income, contributions, and funding. This role involves a degree of complexity due to various business functions and industry affiliations, including government contracts, educational services, staffing solutions, social services, and grant stipulations. The specialist will investigate and resolve discrepancies and inquiries related to accounts receivable.
Key Responsibilities
- Adheres to internal controls and safeguards for the receipt of income, contributions, and payments.
- Maintains the billing system by accurately posting and recording all receivable transactions.
- Generates and distributes invoices to clients and stakeholders.
- Ensures the accuracy of invoices prior to distribution.
- Investigates and resolves billing discrepancies with clients, providing timely communication of results.
- Collaborates with both internal and external stakeholders to address and resolve accounts receivable issues.
- Compiles and presents reports on receivables and overdue accounts.
- Reconciles the accounts receivable module with the general ledger within set deadlines.
- Reviews balance sheet accounts monthly and reconciles as assigned.
- Completes assigned month-end and year-end closing procedures within established timelines.
- Maintains organized filing systems for financial documentation.
- Performs other duties as assigned.
Supervisory Responsibilities
This position does not include supervisory responsibilities.
Required Skills & Qualifications
- High School Diploma or equivalent.
- One to three years of experience in accounting and finance with increasing levels of responsibility.
- Proficiency in Microsoft Office, Salesforce, Great Plains, and Dynamics 365 software.
- Commitment to teamwork within a diverse environment.
- Ability to seek assistance when necessary to complete tasks or meet deadlines.
- Strong organizational, planning, and time management skills.
- Excellent interpersonal and communication skills, capable of effectively conveying key information to clients, stakeholders, and team members.
Physical Requirements
- Must be able to lift up to 30 pounds occasionally.
- Prolonged periods of sitting at a desk and working on a computer.
- While performing the duties of this role, the employee is frequently required to walk, balance, stoop, kneel, crouch, and communicate.
- The ability to manage moderate levels of stress is essential. Specific vision abilities required include close vision, distance vision, depth perception, and the ability to adjust focus.
- Ability to use hands and fingers to operate a telephone and keyboard.
