Animal Equality is a global organization dedicated to advocating for farmed animals through various initiatives including undercover investigations, corporate campaigns, and community outreach. With a presence in multiple countries, Animal Equality is recognized for its impactful efforts in the animal protection movement.

We are seeking an Administrative Operations Supervisor to oversee the daily functions of our US team. This role is primarily remote, with a preference for candidates who can work onsite periodically. The ideal candidate will be detail-oriented and exceptionally organized, thriving in a dynamic, cross-functional environment.

Position Objective:

Act as the primary point of contact for external inquiries, serving as a vital member of the international operations team and providing essential administrative support to the organization.

Key Responsibilities:
  • Ensure organizational compliance and deliver expert administrative assistance.
  • Act as the main liaison for insurances, payroll, benefits, outside counsel, property management, vendors, and service providers, maintaining accurate records and timely documentation.
  • Coordinate meetings and events, managing all logistical aspects.
  • Handle incoming mail, including the recording and depositing of donations.
  • Oversee office management, including procurement, maintenance, and inventory of supplies and equipment.
  • Engage with supporters, vendors, service providers, and other external stakeholders.
  • Respond to inquiries with accurate and timely information.
  • Answer and direct phone calls in a professional and friendly manner.
  • Draft and distribute correspondence, including emails and newsletters.
  • Develop and maintain organizational knowledge management systems.
  • Manage document handling, email, calendars (Google Workplace), and project management (Asana).
  • Ensure operational efficiency and data integrity across all systems and records, including financial information and other metrics.
  • Assist in preparing reports and presentations.
  • Perform additional tasks as assigned by the supervisor.
Qualifications:
  • 3-5 years of relevant experience.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple projects.
  • Proven capability to work effectively under pressure and meet deadlines.
  • Excellent time management abilities.
  • Reliable transportation and a valid driver's license.
  • Meticulous attention to detail and accuracy.
  • Strong problem-solving skills.
  • Ability to collaborate with diverse individuals on various issues.
  • Commitment to maintaining confidentiality.
  • Alignment with the organization's objectives.
Preferred Qualifications:
  • Proficiency in Google Workspace and familiarity with project management tools, databases, and spreadsheets.

Compensation and Benefits: Salary range of $67,000 based on experience, with a benefits package that includes health, dental, and vision plans.
