Job Title: Administrative Supervisor

Job Summary: We are seeking an experienced Administrative Supervisor to join our team at UCLA Health. As a key member of our administrative staff, you will provide direct support to our staff, physicians, and patients, ensuring seamless operations and exceptional patient care.

Key Responsibilities:

  • Supervise a team of administrative assistants and leads, providing guidance and support to ensure successful team performance.
  • Act as a backup to the practice manager, troubleshooting and resolving clinical operation issues in a timely and effective manner.
  • Assist with the selection and oversight of administrative staff members, ensuring they have the necessary skills and training to excel in their roles.
  • Provide support to leads and administrative assistants in other oncology community practices, promoting collaboration and best practices.
  • Assist with troubleshooting, resolving clinical operations issues, arranging practice coverage, and facilitating communication with referring physicians.
  • Refer patients to appropriate resources and provide follow-up through telephone and EPIC/Care Connect.

Requirements:

  • Strong analytical and problem-solving skills, with the ability to define objectives, identify patterns, and formulate conclusions.
  • Excellent communication and interpersonal skills, with the ability to interact diplomatically and sympathetically with patients and staff.
  • Ability to make independent judgments and evaluate complex issues, with a focus on administrative and clinical operations.
  • Strong administrative skills, with the ability to resolve complex issues and implement long-range plans.
  • Ability to work independently and follow through on assignments with minimal direction, while prioritizing tasks and managing a heavy workload.
  • Strong writing and editing skills, with the ability to produce grammatically correct letters, reports, memos, and minutes.
  • Ability to speak to individuals using appropriate grammar and vocabulary, with a working knowledge of medical oncology terminology.

Preferred Qualifications:

  • Ability to speak persuasively to individuals and groups, with a focus on effective communication and patient engagement.
  • Strong computer skills, with proficiency in Microsoft Word, Excel, and Outlook, as well as CareConnect.
  • Previous supervisory experience, with a focus on team building and leadership.
