Candidate Profile

  • A Bachelor's Degree is required.
  • 3-5 years of relevant experience in a similar role.
  • Proficiency in Microsoft Office Suite: Word, Excel, and Outlook.
  • Familiarity with Microsoft Access, MasterSpec, and MasterWorks.
  • Experience in data entry for QMS and Project Status 2K database applications.
  • Competence in operating office equipment such as printers, copiers, and scanners.
  • Understanding of document filing, record-keeping processes, and departmental protocols.
  • Ability to perform tasks independently with minimal supervision.
  • Capacity to follow directions from multiple sources and prioritize effectively.
  • Strong communication skills to interact with colleagues.
  • A focus on customer service in all interactions.
Key Responsibilities
  • Manage reception duties including handling incoming calls, welcoming visitors, and coordinating mail and deliveries.
  • Organize, coordinate, and prepare Project Specifications.
  • Process and track Shop Drawings/Submittals efficiently.
  • Prepare and assemble project deliverables, proposals, and other assignments as requested.
  • Source, price, and procure office equipment and kitchen supplies.
  • Log, process, and file Quality Assurance documents.
  • Coordinate project archiving and manage off-site document storage.
  • Maintain project filing systems.
  • Provide support for meetings, including scheduling and logistics.
  • Undertake additional duties as assigned.
