Job Overview

Key Responsibilities
The following points outline the essential functions of this position, though they are not exhaustive of all duties performed by individuals in this role:

  • Manage incoming calls, screen inquiries, take messages, and provide information accurately and courteously, adhering to established guidelines.
  • Prepare and proofread various documents, including reports and correspondence, ensuring accuracy and timely submission for review by supervisory or professional staff.
  • Assist in financial record-keeping, including maintaining expense accounts and petty cash, while ensuring the accuracy of statistical reports prior to dissemination.
  • Conduct data collection and information retrieval tasks, compiling data into accessible formats for supervisor use, and preparing summaries as required.
  • Coordinate schedules for meetings, patient appointments, and travel arrangements, while assisting in the preparation of necessary materials and agendas.
  • Maintain organized manual and electronic filing systems in compliance with departmental protocols and regulatory requirements.
  • Support human resources and payroll functions, including data entry and tracking employee evaluations as directed.
  • Order and manage office supplies and assist in the upkeep of office equipment.
  • Sort and distribute incoming and outgoing mail, prioritizing correspondence for immediate attention as needed.
  • Provide clerical support for patient registration in clinical settings when necessary.
  • Document meeting minutes and other relevant materials as requested.
  • Adhere to established policies and procedures related to quality assurance, safety, and infection control.

Qualifications
A High School Diploma or equivalent (GED) is required.
Two years of general clerical experience, including typing, is essential.
Experience in a professional office or healthcare environment is necessary.
