About the Role

We are seeking an exceptional Administrative Support Specialist to join our team at Spelman College. This is a full-time position that will provide administrative support to the Director of Campus Wellness and the department, ensuring seamless planning, implementation, promotion, and evaluation of programs and activities within the office.

Responsibilities

  • Provide exceptional customer service by greeting visitors, directing phone inquiries, and providing routine information to callers and visitors.
  • Assist the Director with calendar management, copying, typing correspondence, and maintaining office files.
  • Organize and summarize information from office files or other sources for the Director and Wellness Center Office use during appointments or meetings.
  • Coordinate travel arrangements for the Director, assist with expense reports, and coordinate travel for guests.
  • Onboard new Wellness and Wellness Curriculum staff employees.
  • Order and organize office supplies, track expenditures, and confirm invoices.
  • Maintain document records/files for physical and electronic materials.
  • Develop financial reports, monitor budget line items, and ensure proper posting to budget accounts.
  • Distribute mail to appropriate personnel.
  • Prepare presentation materials, set up equipment, reserve facilities, and coordinate meals.
  • May assist with proposal submissions and follow-up.
  • Prepare periodic newsletters and flyers.
  • Support on/off-campus meetings, including planning, scheduling, setting agendas, and preparing minutes.

Requirements

To be successful in this role, you must have some college education and a minimum of three years of related work experience. You should be able to handle multiple tasks, possess excellent customer service skills, be well-organized, and detail-oriented.

Skills and Qualifications

  • Basic skills in Microsoft Office applications, potentially intermediate or advanced levels in one or more applications.
  • Ability to read and interpret documents, compose memos, letters, and flyers.
  • Excellent communication and problem-solving skills.

Working Conditions

This position is eligible for a hybrid work arrangement. The employee will regularly sit, talk, and use hands to operate computers and office equipment. The employee may occasionally stand, reach, climb, lift, or move up to 15 pounds.

Compensation

The estimated salary for this position is $45,000 - $55,000 per year, commensurate with experience.
