Position Overview

A distinguished global AM Law 100 firm is in search of a Legal Administrative Coordinator to deliver essential administrative assistance to a team of attorneys specializing in Intellectual Property, Litigation, and Corporate law.

Key Responsibilities:
  • Provide comprehensive administrative support to the legal secretary team, which includes partners, associates, and paralegals across various practice areas within the Austin office, particularly in Intellectual Property, Litigation, and Corporate.
  • Conduct conflicts checks and initiate new case files.
  • Draft and prepare business development memoranda.
  • Review and refine prebills for accuracy.
  • Manage correspondence preparation and distribution.
  • Process check requests efficiently.
  • Submit invoices for payment, along with necessary cover letters.
  • Compile and submit expense reports.
  • Record attorney billable hours accurately.
  • Coordinate travel arrangements for attorneys.
  • Organize and maintain electronic filing systems.
  • Update and manage attorney contact lists.
  • Handle document scanning and printing tasks.
  • Oversee heavy calendaring duties, ensuring attorneys' schedules are maintained.
  • Manage incoming and outgoing mail effectively.
  • Prepare documents using Word, Excel, and PowerPoint.
  • Assist with various clerical tasks and administrative projects as assigned.
Qualifications:
  • The ideal candidate will possess two to three years of experience in legal administrative support, with a preference for backgrounds in Corporate, Intellectual Property, and Litigation practices.
  • Exceptional client service skills, advanced proficiency in computer applications, meticulous attention to detail, and strong organizational capabilities are essential. A proactive approach and excellent verbal and written communication skills are also required. Proficiency in Word, Excel, Outlook, PowerPoint, and Adobe is preferred. A college degree and experience in a large law firm setting are advantageous.
