Key Responsibilities:

  • Ensure meticulous management of medical records in compliance with federal and state regulations, as well as organizational protocols.
  • Assist in the preparation of medical records for new patients, ensuring adherence to licensing and certification standards.
  • Organize and maintain new admission registers, including the indexing and coding of diagnoses.
  • Input data for Minimum Data Set (MDS) and physician orders as required.
  • Conduct audits of medical records, ensuring accuracy and completeness, and submit findings to relevant parties.
  • Maintain a log of authorized information extracted from records, detailing the type of information, recipient, date, and department.
  • Facilitate the check-out and check-in process for medical records leaving and returning to the department.
  • Extract necessary information from records for insurance purposes and other authorized requests.
  • Index medical records according to established guidelines.
  • Manage daily physician telephone orders, monitor responses, and report any outstanding cases to the supervisor.
  • Generate required reports for physicians as needed.
  • Regularly manage the thinning and filing of medical records, ensuring compliance with established policies.
  • Retrieve medical records upon request from authorized personnel.
  • Assist in the transfer and discharge processes as necessary.
  • Complete Medicare certifications and recertifications.
  • Compile discharge records and follow up on discharge summaries as needed.

Qualifications:

  • 1-2 years of experience in a healthcare setting preferred, with experience in a skilled nursing environment considered advantageous.
  • A high school diploma or equivalent is required.
  • Familiarity with medical terminology is beneficial.
  • Willingness to work flexible hours, including weekends and holidays, as required.
  • Proficient in English, with the ability to read, write, and communicate effectively.
  • Understanding of nursing and medical practices, procedures, and regulations.
  • Computer skills in Microsoft Office and internet applications are necessary.
