The Facilities Operations Manager is the senior maintenance authority on site, responsible for overseeing the comprehensive maintenance operations, including planning, coordinating, budgeting, organizing, and fulfilling the physical requirements of the property. This role involves performing and supervising maintenance staff in the upkeep and repair of HVAC systems, electrical and mechanical systems, plumbing, landscaping, structural components, mechanical equipment, and apartment refurbishments. Under the guidance of the Property Manager, the Facilities Operations Manager ensures effective cash flow, fosters positive resident relations, and enhances resident retention.
Key Responsibilities:
- Oversees, assigns, and/or executes all maintenance tasks, ensuring service requests are completed within 24 hours and vacant units are refurbished within five (5) business days or less.
- Supervises, mentors, and schedules training for maintenance personnel on the repair and upkeep of HVAC systems, electrical systems, mechanical systems, plumbing, landscaping, structural components, and equipment.
- Conducts move-in and move-out inspections.
- Manages all aspects related to the property's visual appeal.
- Implements cleaning and maintenance protocols for grounds, office/clubhouse, common areas, and workspaces.
- Schedules and performs routine inspections of all grounds, structures, and systems, addressing any issues identified.
- Provides training for employees on the proper use of company equipment and vehicles.
- Assists in drafting the maintenance segment of the overall property budget, ensuring all maintenance expenses remain within financial limits.
- Develops and executes inventory control and preventative maintenance programs.
- Maintains expenditures in alignment with company policies.
- Directs and manages daily administrative operations of maintenance functions, including work scheduling, report submissions, and record-keeping tasks.
- Procures maintenance supplies and materials in a cost-effective manner.
- Prepares requests for quotes and work scopes, adhering to company procedures for obtaining bids.
- Conducts inspections of contracted work to ensure quality and compliance with specifications.
- Reports any property-related incidents or liabilities to the appropriate parties promptly.
- Reports work-related injuries in a timely manner.
- Adheres to all local, state, and federal regulations, as well as company policies and procedures.
- Performs other duties as assigned by the supervisor.
- Minimum of three years of progressive experience in maintenance and repair of HVAC, mechanical, electrical, plumbing, and grounds maintenance in multifamily or commercial properties.
- High School Diploma or equivalent.
- Valid Driver's License and reliable personal transportation.
- EPA Designation/Certification.
- Proficient in English, both written and verbal.
- Supervisory and training experience preferred.
- Strong oral and written communication skills.
- Mathematical proficiency sufficient for budget preparation and expense monitoring.
- Knowledge of Equal Housing Opportunity (EHO) requirements and relevant regulations.
- Ability to lift up to 100 pounds.
- Ability to operate a two-axle motor vehicle.
- Willingness to maintain 24-hour on-call status.
- Proficient in operating all necessary tools and equipment for the role.
- Demonstrated experience and knowledge of OSHA standards and environmental safety regulations.
