Conference Coordinator

Job Summary:
We are seeking a highly organized Conference Coordinator to manage meeting logistics and on-site operations for assigned projects. The ideal candidate will possess excellent communication skills, be able to work independently, and have in-depth knowledge of Cvent and contract negotiation.
Key Responsibilities:
- Coordinate meeting logistics, including rooming lists, menu development, and banquet event orders
- Sourcemeeting space from Hotels and Convention sites
- Negotiate contracts and have knowledge of hospitality legal terms
- Create food and beverage plans for committee meetings
- Reconcile invoices and provide forecasting reports to finance
- Meetings (American Express) Card Reconciliation
- Generate PSA and Task Orders
- Maintain in-depth knowledge of caterers and conference centers
- Maintain in-depth knowledge of audio visual equipment
Requirements:
- College degree or equivalent and three (3) years of experience in meeting management or hospitality experience
- Comprehensive knowledge in contract negotiations and background on registration systems a plus
- Ability to work independently onsite at conferences
- Proficiency using a PC with Microsoft Suite
- Familiarity with CVENT databases
- Able to implement projects independently and collaborate with various departments
Estimated Salary: $28.00 per hour, Long Term Contract, Possible Temp to Hire
