Job Overview

We are seeking a highly skilled and experienced Executive Support Specialist to join our team at Collabera. As a key member of our administrative staff, you will provide exceptional support to our senior managers and teams, ensuring seamless execution of their daily tasks and responsibilities.

Key Responsibilities
  • Executive Support: Directly support two senior managers, providing ad-hoc support to their respective teams as needed.
  • Calendar Management: Manage day-to-day calendars of senior managers, ensuring timely scheduling of appointments, meetings, and conference calls.
  • Travel Coordination: Coordinate all aspects of executive-level travel, including booking flights, hotels, and rental cars, as well as preparing and distributing travel itineraries.
  • Expense Reporting: Prepare, reconcile, and track expense reports through our Travel and Entertainment Expense system.
  • Supply Management: Order supplies and process invoices through our Procure to Pay system.
  • Administrative Support: Assist with creation and modification of presentations, spreadsheets, and other documents as needed.
  • Training and Development: Train, coach, or guide other administrative staff as required to ensure seamless execution of tasks and responsibilities.
Requirements
  • Previous Experience: Previous office administration experience, preferably within a large and complex financial services or similar organization.
  • Technical Skills: Highly proficient in MS Office, with excellent written and verbal communication skills.
  • Leadership Skills: Demonstrated ability to quickly gain command and lead administrative staff as needed.
