  • Daily Tasks:
    • Serve as the primary point of contact at the front desk, greeting employees and guests with professionalism and warmth.

    • Manage the flow of incoming and outgoing deliveries efficiently.
  • Monthly Duties:
    • Plan and execute bi-monthly employee lunches, including food ordering and setup.

    • Monitor and manage the budget for office supplies and services, discussing expenditures with management.
    • Facilitate employee recognition for birthdays and work anniversaries.
  • Periodic Responsibilities:
    • Develop and maintain relationships with building management to ensure a clean and safe work environment.
    • Organize special events for employees, such as holiday celebrations and community service initiatives.
    • Assist with special projects as directed by leadership.
    • Manage office access for employees, including badges and entry codes.
    • Coordinate seating arrangements, including onboarding new hires and reallocating spaces as needed.
    • Handle shipping and receiving of materials for various office needs.
    • Maintain office equipment and coordinate necessary repairs and renewals.
    • Oversee the ordering of business cards and other branded materials.
    • Conduct annual safety drills and maintain emergency procedures.
    • Continuously update the Office Procedures Guide to enhance operational efficiency.
    • Be available for emergency situations outside of regular hours.

Work Schedule:

  • This role typically involves a 34-hour work week, with a structured schedule that may require flexibility for additional hours.
  • On-site presence is required five days a week.

Qualifications:

  • Minimum of one year of experience in an office setting with a focus on operational support.
  • Proficient in Google Workspace and comfortable with Mac systems.
  • Exhibit a positive attitude and a strong customer service orientation.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with strong organizational capabilities.
  • Ability to act promptly and effectively in urgent situations.
  • Willingness to engage in hands-on tasks as necessary.
  • Resourceful in problem-solving and proactive in addressing challenges.
  • Comfortable with technology used in meeting spaces.
  • Skilled in building collaborative relationships across teams.
  • Physical ability to lift and carry items up to 50 lbs.

Compensation: The hourly wage for this position ranges from $20 to $25, based on experience and qualifications.
