Job Summary

UIC is seeking a highly organized and detail-oriented Administrative Support Specialist to provide document management support services to the Office of Principal Legal Advisor (OPLA). The successful candidate will be responsible for maintaining and organizing files, managing mail, and performing various administrative tasks to support the execution of OPLA's mission.

Key Responsibilities

  • Maintain and organize files, both physical and electronic, in accordance with established procedures and protocols.
  • Manage mail, including paper and electronic correspondence, and ensure timely distribution to relevant personnel.
  • Perform data entry and upload tasks into PLAnet, OPLA's electronic alien file repository.
  • Conduct research and draft documents as required.
  • Assist with Freedom of Information Act (FOIA) requests and comply with ICE and NARA document retention policies.
  • Route or file materials that concern legal or specialized matters, such as briefs, correspondence, and exhibit packets.

Requirements

  • High School Diploma or equivalent required.
  • Minimum of one (1) year experience in an administrative office environment required.
  • Extensive computer/PC knowledge, including spreadsheet software, word processing software, and knowledge of MS Office Suite.
  • Ability to successfully pass a federal background investigation and pre-employment drug screen.

Physical Demands

  • Ability to lift up to 35 pounds.
  • Ability to stand and walk for prolonged amounts of time.
  • Ability to twist, bend, and squat periodically.

Security Clearance

Must be able to obtain a security clearance at the DHS ICE T2 level.
