Position Summary

The Patient Services Coordinator II role is primarily focused on providing outstanding patient-centered service while supporting the operational teams at Illinois Bone and Joint Institute LLC. This position entails precise patient registration, effective scheduling, training and mentoring of new personnel, addressing concerns, and performing various administrative tasks that enhance the patient experience, foster a collaborative team environment, and contribute to the achievement of organizational objectives.

**This role requires travel and coverage across multiple locations.**

Key Responsibilities

  • Greet patients and visitors warmly, ensuring the highest standard of customer service.
  • Prepare necessary documentation to ensure smooth operations and superior service delivery.
  • Respond to general inquiries and assist with appointment scheduling.
  • Manage phone reception, triage patient calls, and escalate issues to the appropriate personnel.
  • Conduct registration and pre-registration processes, verifying patient information and insurance details, and advising patients on required documentation.
  • Oversee check-in and check-out procedures.
  • Maintain patient charts and manage related documentation.
  • Handle collection and posting of patient payments, including copays and deductibles.
  • Verify insurance coverage and manage referrals as needed.
  • Assist in training and mentoring new staff members within the department.
  • Ensure a clean and safe working environment.
  • Perform additional office duties as assigned.

Qualifications

  • Education
  • High school diploma or equivalent is required.
  • Associate's degree is preferred, especially in a healthcare-related field.
  • Experience
  • A minimum of three years in a customer service role is required, with medical office experience being advantageous.
  • At least one year in a patient services-related position is required.
  • Experience with Electronic Health Records (EHR), particularly Epic, is preferred.
  • Skills
  • Familiarity with medical terminology is preferred.
  • Ability to manage confidential and sensitive information with discretion.
  • Experience in scheduling and managing appointments effectively.
  • Proficient in Microsoft Office and other Windows-based applications.
  • Knowledge of insurance payers and eligibility requirements.
  • Team-oriented with the ability to thrive in a fast-paced environment.
  • Professional appearance and strong written and verbal communication skills.
  • Results-driven with a focus on maintaining proper processes.
  • Willingness to participate in ongoing training to fulfill job responsibilities.

Physical and Mental Demands

  • Position may require dexterity for operating office equipment, including calculators and computers.
  • Physical demands may include bending, reaching for files, wearing headsets, and mobility for errands or deliveries.
  • Extended periods of sitting and viewing computer screens may be necessary.

Work Environment
