Job Summary

We are seeking a highly skilled and experienced Administrative Compliance Specialist to join our team at Synergy Interactive. The successful candidate will be responsible for ensuring compliance with all statutory requirements, building codes, and client-specific regulations.

Key ResponsibilitiesAudit and Compliance

The Administrative Compliance Specialist will be responsible for:

  • Ensuring audit readiness of the location by complying with and enforcing policies.
  • Participating in audit activities and ensuring that artifacts are always created and available.
  • Assisting the Head of Administration and Location Head in preparing documents required for quality/security audits.
  • Ensuring compliance with all statutory requirements, building codes, CCPA, COI, and regular updating of the same in the compliance portal.
  • Ensuring compliance with Work Environment Guidelines (WEG), Data Privacy, and HSE Guidelines.
  • Maintaining records of Health Safety Environment Data, Maintenance Planner, Technical Data for all locations.
  • Representing the security interests of the Administration team in a professional manner.
Documents, Reports & Trackers

The Administrative Compliance Specialist will also be responsible for:

  • Creating, maintaining, and updating monthly, quarterly, and per-request reports involving vendor evaluations, monthly admin reports, preventative maintenance schedules, technical data, data privacy addendums & certificates, etc.
  • Coordinating with locations to prepare location-related critical documents for audits.
  • Creating, maintaining, and updating trackers for preventative maintenance & drills.
Qualifications

The ideal candidate will possess:

  • An associate degree.
  • 5-10 years' experience in administrative functions of a medium-sized facility (> 1000 associates).
  • Excellent English communication skills (written & verbal).
  • Good computer skills: Microsoft Office (especially Word, Excel, PowerPoint, etc.).
  • Knowledge of office management & maintenance activities, safety, firefighting, and fire control systems, personnel management, finance/accounting processes, and audit & compliance knowledge.
  • Good organizational and planning skills, analytical and problem-solving skills, and good decision-making capability.

The successful candidate will be a team player with good interpersonal skills and the ability to work in a diverse multicultural environment.
