Job Overview

As an Event Management Specialist, you will be responsible for orchestrating and overseeing events, guiding teams from the initial planning stages to the successful execution. This position demands exceptional organizational skills, the ability to set project timelines, and the coordination of both internal teams and external vendors to ensure that events align with the organization's objectives and deliver a memorable experience.

The Event Management Specialist must effectively blend creativity with logistical planning, financial oversight, and vendor coordination. You will be expected to manage multiple tasks simultaneously, addressing both overarching venue considerations and intricate details such as décor and catering, all while optimizing resources and personnel for events of varying scales.

Key Responsibilities

Event Coordination

  • Collaborate with stakeholders to plan events from inception to completion, tailored to specific requirements and target audiences.
  • Implement project management methodologies to execute tasks efficiently.
  • Establish a conducive environment for each event through meticulous planning, ensuring clarity for all team members involved.
  • Design event layouts, including setup and breakdown plans, signage, and traffic management.
  • Develop staffing plans for custodial and security needs, confirming schedules and overseeing staff on the event day.
  • Manage all necessary signage and traffic control measures leading up to the event.
  • Create documentation and training materials to enhance organizational knowledge.
  • Oversee budgetary aspects of event planning to ensure financial accountability.
  • Assist with special projects as assigned by the department.

Team Leadership

  • Recruit and lead an administrative team to support event execution, delegating tasks and fostering professional development.
  • Provide clear guidance and communication through a comprehensive Team Member Handbook for each event.
  • Build a cohesive team that embodies the organization's mission and values, encouraging skill development.

Resource Planning and Support

  • Advise ministries on event planning frameworks and considerations well in advance.
  • Facilitate the event request and approval process, including budget development and resource allocation.
  • Offer expertise in event design, structure, and guidelines, supporting ministries during events as needed.

Communication and Collaboration

  • Manage incoming event requests, providing clear information for leadership decision-making.
  • Monitor event plans for potential challenges, ensuring efficiency and minimal resource impact.
  • Lead planning and execution efforts in collaboration with production teams.
  • Ensure all marketing and communication requests are submitted and fulfilled.
  • Work with safety and facility teams to ensure a secure environment for all events.
  • Maintain visibility and clarity of requirements among support teams for successful event execution.
  • Communicate effectively through various channels, including email and meetings.
  • Identify and address project risks, proposing solutions to mitigate issues.

Qualifications

Education and Experience

  • A bachelor's degree in a relevant field is preferred.
  • 1-2 years of administrative experience is required.
  • 1-2 years of volunteer experience in event management or related fields is preferred.
  • 2-3 years of experience in event operations or project management is essential.

  • Strong multitasking and prioritization skills with a focus on customer service.
  • Excellent written and verbal communication skills.
  • Ability to work both independently and collaboratively.
  • Proficient in problem-solving and resourcefulness.
