The Event Marketing Specialist plays a pivotal role in collaborating with Event Managers to orchestrate the logistics of planning and executing events aimed at elevating EVOTEK's brand presence, enhancing client loyalty, and enriching the overall client experience. This position encompasses comprehensive event coordination, which includes the development of marketing promotions and materials, management of shipping and receiving logistics, budget oversight, event registration, and reporting. From corporate gatherings to philanthropic events, the Event Marketing Specialist is essential in ensuring the success of each occasion.

Key Responsibilities

  • Oversee the planning, organization, and execution of a variety of events.
  • Work collaboratively with internal teams and external partners to ensure seamless coordination of all event components.
  • Assist in logistical arrangements, including venue selection, audio-visual needs, catering, and accommodation planning.
  • Create detailed event timelines, ensuring optimal resource allocation.
  • Partner with Event Managers to develop promotional materials and effectively communicate event details to target audiences.
  • Lead onsite event management in collaboration with Event Managers, ensuring a smooth experience for all attendees.
  • Handle event contracts from initiation through to payment processing.
  • Utilize internal systems to monitor and manage event-related materials and feedback.
  • Manage registrations for guests and sponsors.
  • Implement social media strategies related to events.
  • Oversee pre and post-event invoicing, including submissions for marketing development funds.
  • Demonstrate effective leadership and delegation skills in event planning tasks.

Qualifications

  • Willingness to travel, with approximately 25% travel required.
  • Prior experience in event planning is preferred.
  • Exceptional organizational and time management abilities.
  • Strong attention to detail, with the capacity to prioritize and manage multiple tasks effectively.
  • Excellent verbal and written communication skills.
  • Able to work independently and collaboratively within a team environment with minimal supervision.
  • Strong interpersonal skills, capable of engaging effectively with all event staff.
  • Proven ability to exercise sound judgment and critical thinking in decision-making.
  • Project management experience is preferred.
  • Proficient in Microsoft Office Suite and event management software.
  • Experience with Salesforce is a plus.
