Key Responsibilities:

  • Support the Sales Director in all facets of the sales and event coordination process, including client interactions, proposal creation, and contract oversight.
  • Engage with clients to collect event specifications, preferences, and requirements, ensuring all details are accurately recorded and relayed to relevant teams.
  • Collaborate closely with operational teams to guarantee the smooth execution of events, from initial setup to final breakdown.
  • Prepare and circulate banquet event orders (BEOs) and other essential documentation to keep all stakeholders informed about event particulars.
  • Maintain and update client records, ensuring all information is precise and current.
  • Assist in generating reports that track sales objectives, event budgets, and client feedback.
  • Provide administrative assistance to the sales team, including calendar management, meeting scheduling, and presentation preparation.
  • Participate in site evaluations and assist with event space tours for prospective clients.
  • Handle incoming inquiries, delivering outstanding customer service and prompt responses to potential clients.
  • Contribute to marketing initiatives, including updates to promotional materials and email campaigns.

Qualifications:

  • A bachelor's degree in Hospitality Management, Business, or a related discipline is preferred.
  • At least 2 years of experience in a comparable role within the hospitality sector, particularly in a hotel environment.
  • Exceptional organizational abilities with the capacity to manage multiple priorities effectively.
  • Strong verbal and written communication skills, with a keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with hotel sales software is advantageous.
  • A positive demeanor and a commitment to providing outstanding guest experiences.
  • Flexibility to work varied hours, including evenings, weekends, and holidays, as event schedules dictate.
  • Robust problem-solving skills and the ability to maintain composure under pressure.
