Job Overview

The Onboarding Specialist plays a crucial role in ensuring that operational standards are upheld by identifying and placing suitable candidates. This position involves continuous monitoring of the interviewing and screening processes to enhance efficiency. The Specialist is expected to deliver exceptional customer service by fostering partnerships and building relationships that contribute to account growth.

Key Responsibilities Related to VMS - Beeline
  • Regularly log in to the VMS for reporting and updates.
  • Input all candidate submissions into the VMS tool within one hour of receipt.
  • Create and manage requisitions and activities within the system.
  • Facilitate requisition creation in the ATS.
  • Coordinate interview schedules.
  • Track and facilitate workflow processes through the VMS tool.
  • Support time and expense entry and approval coordination.
  • Validate data for all assignment details.
  • Generate reports as requested by clients on a weekly, monthly, and ad-hoc basis.
  • Update system records as necessary.
  • Collaborate with software providers to identify, track, and resolve system errors, and manage system upgrades as required.
  • Assist accounting with time, expense, and reconciliations for VMS programs.
Key Responsibilities Related to Field Associates
  • Act as a mediator between contractors, vendors, and clients, including conducting quality checks, counseling, and disciplinary actions as needed.
  • Enforce client policies and standards.
  • Follow up on open job orders, new placements, and feedback from contractors.
Key Responsibilities Related to Office/Staffing
  • Ensure all employees placed at client sites meet the necessary screening requirements.
  • Audit contractor files to ensure all required onboarding and offboarding documentation is available for audits.
  • Establish and maintain a collaborative relationship with recruiting partners to ensure their active participation in the program.
  • Continuously assess the screening process to ensure cost efficiency and timely processing of employees.
  • Manage contract labor requests to be filled.
  • Track and manage extensions and funding requests for purchase orders.
Key Responsibilities Related to Client Accounts
  • Maintain communication and provide feedback to clients.
  • Deliver excellent customer service to client accounts.
  • Build and nurture relationships with the client management team.
  • Collaborate with clients to foster a supportive working relationship.
  • Anticipate client needs to support and promote account growth.
  • Follow up on requests, new placements, and contractor feedback.
  • Review documentation on client requests in the VMS system to ensure accurate invoicing.

Additional duties may be assigned by management as necessary to support the functions of the position or the local operations team.
