Boulo is seeking an Administrative Coordinator & Donor Relations Specialist for our client, a renowned artist residency and contemporary arts center.

Employment Type: Full-time

Flexibility: Hybrid after initial onboarding period

Compensation: $40,000

The Administrative Coordinator & Donor Relations Specialist plays a crucial role in assisting the President + CEO with various administrative tasks and projects. This position serves as the primary contact for board members, donors, and partners, representing the organization in all matters related to the President + CEO. The role also leads special projects aimed at enhancing the organization's mission. Key Responsibilities of the Administrative Coordinator & Donor Relations Specialist:

Administrative Duties (70%):

  • Oversee the President + CEO's calendar, email correspondence, and database management with utmost confidentiality and precision.
  • Prepare for and document meetings by creating agendas, presentations, and minutes, along with follow-up items.
  • Act as the liaison between the CEO and external stakeholders, including board members, donors, and partners.
  • Coordinate expense management, credit card reconciliations, and invoice processing.
  • Assist in organizing public and philanthropic events as needed.
  • Welcome callers and visitors and prepare meeting materials as required.

Philanthropic Duties (15%):

  • Support fundraising campaigns by generating reports and assisting with communications.
  • Maintain a calendar of interactions with current and prospective supporters.
  • Organize communications with the donor community, including newsletters and annual reports.

Special Projects (15%):

  • Collaborate across departments to support assigned projects.
  • Engage with artists, donors, external partners, and team members to gather necessary information.
  • Manage project timelines, resources, and budgets while keeping the President + CEO informed of progress and challenges.

Qualifications for the Administrative Coordinator & Donor Relations Specialist:

  • Minimum of an Associate Degree in Communications, Business, Office Administration, or a related field, or equivalent experience.
  • Two to three years of experience in an administrative capacity.
  • Exceptional verbal and written communication skills, with the ability to connect with diverse individuals.
  • Proven ability to work collaboratively in a team environment and manage projects to completion.
  • Able to work independently and make informed decisions within a team framework.
  • Flexibility to adjust work hours as needed for projects and meetings.
  • Advanced proficiency in Microsoft Office Suite, including SharePoint, PowerPoint, Excel, and Word.
