Grants and Sponsorship Administrator

Ultimate Staffing is currently looking for a dedicated professional to fill the role of Sponsorship & Grants Coordinator for a non-profit organization. This position offers a flexible work environment, primarily REMOTE, with occasional office visits required.
The successful candidate will play a crucial role in the effective administration of sponsorships and federal grants, particularly in relation to both in-person and virtual conferences.
Key Responsibilities:
- Develops compliance protocols and guidelines for stakeholders involved in fundraising activities, including grants and sponsorships. Prepares necessary documentation and resources to support fundraising efforts.
- Provides training and support to volunteer organizers on the management and compliance of sponsorship funds.
- Advises volunteer conference leaders on best practices for grant submissions and fundraising initiatives.
- Maintains comprehensive records for both federal and private sponsorship engagements, collaborating with the accounting team to ensure accurate financial reporting on all awards and sponsorships.
- Oversees the creation and distribution of sponsor benefits materials and manages sponsor contracts and agreements.
- Coordinates the preparation and submission of federal grant applications, offering guidance to organizers on non-federal funding requests.
- Drafts policies and procedures for the evaluation and distribution of federally funded travel awards.
Qualifications:
- 3-5 years of experience in grant and sponsorship administration, including reporting.
- Proficient in securing conference funding from various sources, including NIH, foundations, and corporate sponsors.
- Ability to work under pressure and meet tight deadlines while maintaining professionalism.
- Knowledge of sponsorship and fundraising strategies, along with budget management skills.
- Proficient in MS Office, Adobe, and database management; experience with project management software is a plus.
