Key Responsibilities:

  • Collaborate with project management and controls teams to identify suitable job codes, cost codes, and general ledger account codes for processing accounts payable, billings, and payroll.
  • Assist in the establishment and closure of projects within the accounting system, ensuring accurate entry of accounts payable, billing, and payroll information.
  • Examine material invoices to verify quantities and amounts against purchase orders and packing slips, ensuring the correctness of sales tax rates and calculations.
  • Compile documentation for billing, including charges for labor (both union and non-union), materials, subcontracts, general conditions, and rental equipment.
  • Prepare customer invoices according to their specified format, frequency, and rates as outlined in contractual agreements.
  • Work closely with project managers to review and submit customer billings, ensuring accuracy and timely submission.
  • Coordinate with subcontractors to ensure timely submission of payment applications for inclusion in customer billings, aligning documentation with customer requirements.
  • Support project controls staff in administering and entering labor billing rates as established by customers or projects.
  • Post approved billings in the accounting system and engage with customers to facilitate prompt payments in accordance with contract terms.
  • Assist in the collection and entry of payroll timesheets for union construction workers on a daily and weekly basis.
  • Maintain a strong focus on teamwork, diligence, and meticulousness in all tasks, proactively addressing issues and ensuring timely completion of responsibilities.
  • Perform additional project accounting tasks as needed to support project and corporate objectives.
  • Responsibilities may vary between managing a single large project or multiple smaller projects concurrently.

Qualifications:

  • An associate degree in accounting is preferred; however, a combination of education, training, and experience may be considered.
  • A minimum of 2 years of relevant experience in construction project accounting is preferred.
  • Fundamental understanding of construction project accounting principles, particularly in accounts payable, customer billings, and payroll.
  • Proficiency in Microsoft Word, Outlook, and Excel; familiarity with Adobe or Bluebeam PDF software is advantageous.
  • A valid driver's license may be necessary, and individuals in this role may undergo an annual Motor Vehicle Records check.

Physical Requirements and Work Environment:

This position may require the employee to operate tools or controls, frequently use a computer keyboard, and occasionally maneuver in confined spaces. The employee must be able to remain stationary for extended periods and may need to ascend or descend ladders or stairs. Regular lifting of up to 10 pounds and occasional lifting of up to 25 pounds is required. The role involves travel and on-site work at construction locations, necessitating effective communication throughout the job site.

The working conditions may involve exposure to various weather conditions, requiring the use of personal protective equipment to ensure safety. The environment may include prolonged exposure to loud noises and various scents. Overtime and weekend work may be requested.
