Position Summary:

We are in search of a Legal Administrative Specialist to deliver comprehensive administrative assistance to the Agency's Chief Compliance Officer and General Counsel, while also supporting the Legal and Compliance operations with utmost professionalism and confidentiality. This role entails providing administrative backing to C-suite executives and overseeing corporate and legal documentation. The Legal Administrative Specialist acts as a vital administrative link between the C-suite, Board members, internal personnel, and external partners.


Key Duties and Responsibilities

  • Manage a substantial administrative workload, including filing, processing invoices, tracking expenditures, ordering supplies, drafting routine correspondence and reports, scheduling meetings, and assisting with event preparations.
  • Support the CCO/GC in organizing training sessions and developing training materials.
  • Prepare corporate filings, meeting agendas, minutes, and corporate resolutions.
  • Oversee the contract routing, execution, and maintenance processes for the department.
  • Handle subpoenas and other document requests efficiently.
  • Assist in coordinating insurance renewals and requests for certificates of insurance.
  • Engage in special projects and additional tasks as assigned by the CCO/GC.

Qualifications and Skills

  • A Bachelor's degree or paralegal certificate is required.
  • At least 3 years of experience providing administrative support to senior executives.
  • A minimum of 1 year of experience in a corporate legal or compliance department or law firm.
  • Proven experience managing a busy executive calendar, prioritizing meetings, and ensuring the availability of relevant documents.
  • Ability to maintain strict confidentiality.
  • Strong analytical and organizational skills.
  • Capability to manage multiple tasks with a keen attention to detail.
  • Ability to remain composed under tight deadlines and shifting priorities.
  • Excellent communication skills, both verbal and written, with the ability to interact diplomatically with all levels of staff, including C-suite executives and Board members.
  • Proficient in preparing corporate minutes accurately and timely.
  • Ability to problem-solve and advance administrative tasks in the absence of the CCO/GC.
  • Technologically adept, with the ability to quickly learn and utilize platforms such as Zoom and the Agency's Board portal and intranet.
  • Contribute actively to team efforts for successful project completion.
