About the Role

We are seeking a highly organized and detail-oriented Project Coordinator to join our marketing team at DK Global. As a Project Coordinator, you will play a critical role in ensuring the smooth execution of marketing projects, from setup to delivery.

Key Responsibilities
  • Set up and maintain digital files and folder structures for marketing projects.
  • Coordinate with clients and project stakeholders to obtain feedback, interview dates, and approvals.
  • Liaise with project team members to ensure tasks are completed on time and according to specifications.
  • Prepare and send RFQs and ICA's for contract work on projects.
  • Participate in weekly forecasting meetings and update the forecast daily as needed.
  • Attend and participate in semiweekly marketing team huddles, taking notes as necessary.
  • Record phone calls and meeting notes in the Comm Log.
  • Schedule pre-kickoff, kickoff, and milestone meetings for each project.
  • Coordinate meetings and interviews as directed by the CMO.
  • Take meeting notes and upload them to the project management platform.
  • Review projects for milestone meetings and notify the CMO.
  • Prepare purchase requests for project assets.
  • Track time for POs on projects.
  • Add client/stakeholder feedback into the project management platform from meetings and emails.
  • Review drafts for accuracy and quality against project scope and creative standards.
  • Check all spelling, grammar, and render quality on drafts.
  • Review close-out procedures for all projects.
  • Communicate time-tracking errors to the CMO daily.
Requirements and Qualifications
  • Ability to respond quickly to demanding situations and switch gears rapidly.
  • Ability to prioritize and multi-task in a fast-paced environment with minimal supervision.
  • Exceptional verbal and written communication skills to interact effectively with all levels of management, staff, clients, and departments.
  • Outstanding interpersonal and organizational skills and attention to detail.
  • Excellent computer skills, including proficiency with Microsoft Office.
  • Understanding of Waterfall and Agile project management frameworks is a plus.
