Job Description
We are seeking an experienced Healthcare Operations Coordinator to join our team at JBW Federal. This role will involve providing administrative support to the Department of Healthcare Operations at Walter Reed National Military Medical Center. The successful candidate will have excellent organizational skills, attention to detail, and the ability to multitask.

Responsibilities
The key responsibilities of this role include:
  • Providing administrative support to the Department of Healthcare Operations.
  • Ensuring the smooth operation of daily tasks and projects.
  • Managing complex departmental patient files.
  • Receiving high-profile visitors, patients, and patient family members.
  • Answering telephone inquiries and directing callers to appropriate staff.
  • Entering patient physician messages into the facility computer healthcare system.
  • Processing patient medical record requests.
  • Generating patient letters for follow-up care and testing.
  • Checking patients in and out from schedules.
  • Scheduling follow-up appointments in automated systems.
  • Inputting required data into automated medical treatment facility computer systems.
  • Completing, scanning, and editing ambulatory Data Forms using medical treatment facility computer systems.
  • Receiving, reading, and making proper distribution of correspondence and other mail.
  • Drafting, editing, and completing typing projects or government review and signature.
  • Reviewing all outgoing documents for format, typing, grammar, and coordination.
  • Reviewing, transcribing, and typing correspondence, memorandums, and other material for signature.
  • Managing the Director's activities schedules and reminding the Director of meetings and appointments.
  • Coordinating the scheduling of conference room meetings.
  • Evaluating the office environment and ensuring it is kept clean and in working order.
  • Preparing and keeping statistical information for cost accounting purposes.
  • Entering and/or retrieving data from CHCS, AHLTA, and CIS as required.
  • Maintaining correspondence suspense and control system.
  • Coordinating computerized word processing storage and indexing.
  • Providing computer training and in-services on operating current and incoming new equipment.
  • Maintaining a group email account and shared database.
  • Performing administrative timekeeping support for the Directorate.
  • Correcting time and leave discrepancies.
  • Preparing all time card documents and submitting to government for final government approval and signature.
  • Maintaining supply and equipment inventory and control.
  • Scheduling routine and trouble maintenance on office equipment.
  • Maintaining secondary records (convenience files) for 3 years.
  • Participating in meetings to review and evaluate the care provided to patients.
  • Participating in clinical staff quality assurance functions and clinic Performance Improvement/Risk Management Programs.
  • Attending command orientation, including initial training requirements and information systems orientation.
  • Clinic orientation for the healthcare worker shall take place during regularly scheduled shifts.
  • Annual renewal of command-directed training requirements.
  • Making necessary arrangements for travel.
  • Monitoring, updating, and reviewing reports daily.
  • Reviewing and maintaining over 150 patient files for complete and accurate information.
  • Greeting, directing, and assisting over 40 visitors/patients daily.
  • Scheduling 20 new and follow-up appointments for patients.
