Quality Department Administrative Support Specialist

Job Summary: We are seeking a highly skilled and detail-oriented Administrative Assistant to support the Vice President of Quality and Safety at Richmond University Medical Center. The successful candidate will be responsible for providing administrative support to the Vice President, including scheduling meetings, preparing correspondence, and maintaining accurate records.

Key Responsibilities:

  • Schedule and prioritize physical visits, phone calls, and email requests for the Vice President to maximize their working schedule.
  • Maintain appointment calendars and schedule appointments for the Vice President.
  • Prepare committee packets and present them along with clinical/administrative presenters at committee meetings.
  • Take minutes and prepare them for following month's meetings and Board of Trustees Committee meeting.
  • Assess and order office supplies on a monthly basis.
  • Maintain all staff personnel files for the Quality Department.
  • Develop and maintain good working relationships with various members of the hospital community to foster cooperation with Quality during initiatives, requests for materials, and investigations.
  • Accurately complete time cards and attendance records on electronic timekeeping software.
  • Assist sub-departments in fulfilling their obligations on a day-to-day level and on long-term/multi-day projects.
  • Make judgment calls without needing to consult with higher-ups on minutiae.
  • Work closely with the Vice President on additional responsibilities that come across their purview.

Requirements:

  • Bachelor's degree from an accredited higher-education institution.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with a diverse group of stakeholders.
  • Proficiency in Microsoft Office Suite and data analysis tools.
  • Familiarity with medical terminology.
  • Capability to multi-task and prioritize various functions for smooth office operations.
  • Shorthand or speed writing preferred.
  • Ability to function under high-pressure.
  • Advanced long-form writing and reading comprehension skills.

Salary Range: $40,000 - $45,000
