Position Summary

This part-time, hourly role is focused on ensuring that every detail of various events, including weddings and corporate gatherings, is executed as promised to clients. The Event Operations Coordinator will support the Event department while ensuring adherence to the Museum's policies and procedures during setup, breakdown, and execution of events. The role requires delivering exceptional customer service and ensuring guest satisfaction by assisting with navigation throughout the Museum.

Key Responsibilities
  • Maintain a professional demeanor at all times.
  • Deliver high-quality customer service.
  • Welcome guests at designated locations as per event requirements.
  • Communicate event schedules, content, and expectations clearly with clients and event staff.
  • Utilize radio communication effectively to manage visitor flow.
  • Be present in the event area throughout the rental period, including setup and teardown.
  • Ensure all promised event components are delivered on time.
  • Assist guests in any manner necessary.
  • Uphold the highest standards for facility rentals.
  • Collaborate effectively with catering services.
  • Work in conjunction with various museum departments, including Operations, Housekeeping, Facilities, and Security.
  • Report any facility rental needs or concerns to the Events Manager.
  • Perform additional duties as assigned.

Event Setup Responsibilities
  • Review event details and floor plans prior to the start of the shift.
  • Place appropriate signage throughout the venue.
  • Remove any internal signage not suitable for private events.
  • Ensure all guests exit the venue safely post-event.
  • Assist vendors in understanding their responsibilities upon arrival.
  • Maintain effective communication with museum departments to ensure smooth visitor flow.
  • Communicate event schedules and expectations to clients and event staff.

During the Event
  • Check in with vendors to confirm they are aware of the timeline.
  • Ensure guests adhere to the museum's policies upon arrival.
  • Attend to client needs throughout the event.
  • Assist guests with navigation during the event.
  • Help manage elevator access in a courteous manner.
  • Monitor the event space to maintain cleanliness and order.
  • Ensure all event components are delivered as promised.

Event Breakdown Duties
  • Confirm all guests have vacated the venue at the end of the event.
  • Assist vendors and clients with the load-out process.
  • Monitor for any damage to the venue or exhibits.
  • Return signage to designated areas for museum reopening.

Qualifications
  • Prior experience in event coordination, customer service, or a related field is required.
  • Exceptional interpersonal skills with the ability to engage at all levels.
  • Access to a reliable phone and the ability to check company communications regularly.
  • Availability to work 10-15 evening hours per week, including weekends and holidays.
  • Maintain a neat and professional appearance.
  • Ability to follow directions and perform tasks independently.
  • Capability to work collaboratively in a fast-paced, team-oriented environment.

Physical Requirements
  • Regularly required to stand for extended periods, use hands for various tasks, and communicate effectively.
  • Frequent walking is necessary.
  • Occasionally required to lift and/or move up to 25 pounds.
  • Specific vision abilities include close vision, distance vision, and the ability to adjust focus.
